Operation Nascent Hikkoshi

Objective

Organize and package all equipment and contents of HackManhattan so the space can be moved to another location within two full days with transportation/movers.

Synopsis

Given that our lease for 137 West 14th Street is over in December, and the likely sale of the building requiring tenants vacate, the best course going forward would be signing a new lease at a functionally similar location by the end of 2021. Potential spaces have been scouted by members between the end of 2020 till 2021 and can be found in Elbow_room. Regardless of the reason, timing, and destination of the departure, the actual move will go a lot smoother if we prepare in advance. While the space is still restricted from public use. Hikkoshi, the Japanese word for changing residence, is a reference to youtube video that documents the moving process executed by a professional moving company. If we take the time and effort to properly pack and sort the contents we wish to carry on with the future of HackManhattan, it will drastically improve the transition process.

Estimated Budget

  • $500 for plastic containers, label strips, duck tape, delivery
  • $1000 for carting service (optional)

Phases

Reduction Phase

  • Coordinate member storage return, accommodate remote return options like mailing
    • This will likely involve reaching out to each past and present active member individually on a call and confirming what should be shipped.
  • Assign any equipment that can be used by members for temporary loan (vinyl cutter, 3d printers, disk sander).

  • Disposal: Dispose of at least 1 milk carton worth of contents that won't be needed in the new location (starting 2021-09-17)
    • Online sale: either via ebay or craigslist.

Storage Goals

  • Standardize all storage containers to durable plastic bins (container store?)
  • Determine if equipment/contents is worth moving, with estimates for replacing.
    • Does the equipment cost more than $200 at present retail?
    • Is the equipment heavier than 10kgs?
    • Examples include the lathe, mill, laser cutter
  • Document items, track existing inventory
    • Since the things tool will likely be decommissioned at this point, we'll need a new way to track.

Transportation

Packaging/Storing

In 2022, we started to collect milk crates to standardize a lot of the containers. The hope is that everything that will be moved is in a stacking friendly container. 24 qt preferred.

Buildout

Even with the existing lumber supply, we're going to need to purchase a fair amount to create shelves fitted for the new location.

Disposal

This should occur in two phases. We should slowly begin to dispose of stuff that will not be brought over to the new space with Tuesday/Thursday garbage pickups.

Once the move is completed, there will likely be a large amount of trash that remained in HM. This content will need to be disposed of either in a large dumpster parked in the street or handled after the fact.

Moving Day Plans

Below is a step by step sequence of tasks needed for a smooth move. The ideal objective is that the entirety of the move should take place in one day when we have rented a vehicle. Preparation will be essential for this to occur so it's important that the majority of the effort take place beforehand.

Week Prior to Moving

All focus should be dedicated to packing.

  • HackManhattan
    • pack kitchen into boxes
    • board games need to be stored into containers
    • 3D Printers disassembled for transportation
    • Wood shop
      • All loose hanging tools should be placed into containers
      • Pegboard should be unmounted from the wall
  • New Location
    • Setup internet (may require hotspot on site)
    • Basic electrical
    • Access management
  • Prepare time lapse recording

Day Prior to Moving

This is an effort that will require at a 6 members for ~6 hours.

  1. Disassemble Ikea tables and load them to the bar
  2. Empty shelves and stack into center of HM
  3. Disassemble shelves and move all lumber into bar
  4. Empty the kegerator
